SHOW COORDINATOR
Currently recruiting in the following markets (1 job opening available per market): Indianapolis, Salt Lake City
This is a remote position working from home. Our team is looking for top talent to work remotely 90% of the time with the remaining 10% onsite at shows. This remote position is responsible for providing administrative and operational support for our shows listed below. The Show Coordinator works with the Operations Manager and Show Manager on day-to-day operations and with the sales team on general support with an emphasis on:

Key Responsibilities:
MarketSpace/Financial:
- Maintain .dwg floorplans using DraftSight
- Assist sales team with collections efforts
- Support Show Manager with P&L maintenance, including sorting and recording bills in the show’s cost tracker
Marketing:
- Assist with the development of ticket partnerships and manage the coordination and execution of all ticket programs, including VIP, COMP, corporate, exhibitor, and specialty programs (where applicable)
- Create and track promo codes and web buttons through TIX123
- Responsible for creating and distributing select exhibitor communications based on information from management
- Assist management with attendance reporting, including ticket provider setup
- Assist with coordination, development, and content gathering for show guide programs and show guide addendums
- Regularly update visitor and exhibitor webpages on show websites, including uploading exhibitor forms and sales documents
- Maintain working knowledge of social media platforms, access, and development of creative content
- Collaborate with management to connect the show to the market by developing new relationships, partnerships, charitable affiliations, and alliances
Operations:
- Develop and maintain all supplier info, move-in/out schedules, contact information, etc., on OneDrive for staff access both remotely and onsite
- Manage the exhibitor badge program
- Maintain the show office onsite throughout move-in, show, and move-out of assigned shows, including setting up and restocking the office, and coordinating show office staff, volunteer coordinator, temporary staff, contractors, volunteers, box office, exhibitor, and visitor needs (requires irregular hours, including weekends)
- Responsible for booking hotel rooms for MPE staff, suppliers, and celebrity guests, while maintaining a relationship with the host hotel
- Responsible for vehicle rentals and other staff travel arrangements
- Execute show decorator requirements including move-in and move-out schedule, floor plan, signage, drape and carpet plans, ballot boxes, radios, golf carts, and other equipment as needed
- Assist management with venue requirements such as ordering onsite food, parking passes, security, staffing, ticket takers, liquor licenses, food permits, etc.
- Work with management, decorator, and venue to manage on-site logistics including move-in, move-out, security procedures, labor, wait times, dock operations, traffic flow, and health & safety
- Oversee implementation of Health & Safety regulations, execution, and related forms
- Oversee box office operations according to MPE best practices, including training and supporting onsite box office staff when box office is run by MPE
- Assist in managing key contracts including hotel, service providers, security, temps, audio-visual, box office/ticket sales, electricians, cleaning, display/feature builders, and others as necessary
- Order exhibitor awards for all shows
Features/Sponsorship/Promotions:
- Support management in developing show themes, features, promotions, advertising, and sponsorship opportunities to boost attendance
- Assist in managing budgets related to features and decorators
- Create stage schedules; coordinate presenters and hire/manage emcees or stage hosts as needed
- Coordinate signage, promotions, contests, travel, ticketing, and coupon programs; liaise with agencies as required
- Assist in developing and executing sponsorships, ensuring deliverables align with agreement terms
General:
- Handle operational calls and general inquiries from exhibitors, consumers, and suppliers
- Conduct customer service calls with exhibitors within one week of registration
- Maintain and organize OneDrive files, including invoices, expenses, and partner contracts (i.e., hotel, ticketing, venue, decorators, etc.)
- Travel for company meetings, shows, and training as required
- Manage team vacation tracker and related scheduling
- Other duties as assigned
Knowledge and Abilities:
- 2+ years of experience in administrative, coordination, event, and customer service roles
- Strong general accounting knowledge with proficient math and analytical skills
- Excellent written and verbal communication, including proofreading accuracy
- Strong interpersonal and relationship-building abilities
- Highly organized with attention to detail and time management
- A working knowledge of MS Office, Adobe, Canva, CRM systems, and social media platforms
- Self-starter with ability to work independently and as part of a team
- High emotional intelligence, self-awareness, and stress management skills
- Experience in event/exhibitor or hospitality industry preferred
- Valid driver’s license and comfortable operating a motor vehicle
